Bookkeeping, Financial Analysis, or Fractional CFO: What Does Your Business Actually Need?

We often speak with business owners who tell us they’re looking for a Fractional CFO.
Then we start talking about what they actually need.
They want someone to make sure their books are accurate, go through the financial statements with them every month, and point out anything that looks unusual.
That’s important work. But in many cases, what they’re describing is good bookkeeping with the right level of financial review.
Another owner may come to us with a very different situation. The books are already in good shape, but they’re trying to decide whether they can afford to open a second location. They want to plan for next year, understand how much cash will be available, and analyze different scenarios before committing.
That’s a different type of work.
The confusion is understandable. Terms such as bookkeeper, financial analyst, and Fractional CFO are used so loosely today that business owners aren’t always sure what they’re buying.
At ProfitWise, we prefer to start with what the business actually needs.
For many small businesses, that begins with bookkeeping.
Accurate books tell you what happened in the business. Revenue and expenses need to be recorded properly, accounts need to be reconciled, and the financial statements need to reflect what’s actually going on.
But we don’t think the relationship should stop when the books are closed.
That’s why our bookkeeping service includes monthly one-on-one meetings. We go through the financials with the owner, discuss changes we’re seeing and talk about anything that deserves attention.
Maybe payroll has been gradually increasing. Perhaps a particular expense suddenly looks different, or profitability changed even though sales remained relatively stable.
The bookkeeping gives us the numbers. The monthly conversation helps us understand what’s behind them.
For many business owners, that’s exactly the level of support they need.
Sometimes a specific question requires deeper financial analysis.
Imagine a restaurant owner who wants to know which menu items are actually producing the best margins. Or a medical practice trying to understand whether adding another provider makes financial sense. A real estate investor may want to compare the performance of several properties before deciding where to invest additional capital.
Those situations call for going deeper into a particular issue.
Other business decisions require looking forward rather than simply understanding what has already happened.
That’s where Fractional CFO services can become useful.
A business may be preparing for rapid growth, considering another location, evaluating financing, planning a major investment or trying to understand what different decisions could mean six or twelve months from now.
At that point, forecasting and scenario planning become much more important.
And the three types of work often connect.
Good analysis depends on reliable financial information. A forecast built on inaccurate books isn’t particularly helpful. At the same time, years of accurate financial statements don’t automatically tell an owner whether opening another location next year is a good idea.
The right level of financial support can also change as the business changes.
A company may be perfectly well served by bookkeeping and monthly financial reviews for years. Then an opportunity comes along, or the business reaches a point where the owner is making larger decisions more frequently. Fractional CFO support may make sense during that period.
Later, the needs may change again.
At ProfitWise, that’s why we don’t think every business needs the same level of financial service. Some owners primarily need accurate books and someone who will actually sit down with them every month and explain what’s happening. Others need deeper analysis around a particular issue. And some need ongoing help thinking through what comes next.
The important part is understanding what you’re trying to accomplish before deciding what service you need.
You may not need a Fractional CFO.
You may simply need more from your bookkeeping.
And when the questions facing your business become bigger, you’ll know there’s another level of support available.
